Scan Event Badges Without Renting a Device
Your event organiser quotes £500 per lead retrieval device for your three-rep booth at the next conference. That’s £1,500 you don’t need to spend, your phones already do the job.
How event badge scanning actually works
Your attendees’ badges have a QR code that encodes their registration ID. The organiser’s API, Cvent, Expo Pass, Maritz, whichever they use, looks up that ID and returns the attendee’s full profile.
Your rented device does exactly two things: reads the QR, calls the API. A smartphone does both.
What you get by using your phone
Your phone reads QR codes faster than the rented device. Your phone has better battery life, charges anywhere, and fits in your pocket.
Your phone also handles paper business cards, voice notes, qualifying questions and direct CRM integration, none of which the rented device does.
Event API key setup
Your event organiser emails you the API key a few days before the show. You paste it into your scanner app, pick the CRM target, set the Campaign, done.
Your setup takes about five minutes per event. Rental setup usually takes 20-30 minutes on site, between queuing for the device, learning its UI and syncing it to your laptop.
Multi-rep scanning at the booth
Your three reps all scan from their own phones. Leads pool into one CRM record set with the scanning rep correctly attributed. No sharing a single rental device and no “wait your turn”.
Your throughput at a busy booth is 3x what a single rental device can handle.
Attribution per rep
Your CRM record shows which rep scanned which lead. Your post-event commission or attribution splits happen cleanly.
Shared leads across reps
Your same prospect scanned by two different reps? Your scanner merges the records and preserves both reps’ notes.
Offline fallback when the organiser’s API is slow
Your event API can get overloaded during peak hours, happens every year. Your scanner reads the badge QR as a raw value, captures the scan, and fills the attendee profile when the API catches up.
Your reps keep working while other exhibitors’ rental devices spin with “fetching attendee…” for 30 seconds each.
